Trucker’s Essential Documents: Legal & Safety Checklist

You can have the cleanest rig on the road, but if you don’t have the right documents in your glovebox (or your document folder), one quick inspection can turn into a major headache.

Whether you’re a dump truck driver, semi owner-operator, or run hotshot loads, being organized means being prepared—and legal. Here’s a go-to checklist of what to keep in your truck at all times, so you’re covered when it counts.

Must-Have Legal Documents for Truckers

✅ 1. Driver’s License (CDL)

It goes without saying—but don’t leave the yard without it.

✅ 2. Medical Examiner’s Certificate

Required by FMCSA to prove you’re physically qualified to drive.

✅ 3. Vehicle Registration

Your truck and trailer (if applicable) must be properly registered and up to date.

✅ 4. Proof of Insurance

Always have a current copy of your commercial truck insurance certificate handy. (If you’re with Logrock, make sure you’ve saved your latest proof to both digital and paper formats.)

✅ 5. IFTA License & Stickers

If you operate across state lines, you’ll need your International Fuel Tax Agreement (IFTA) documentation and decals.

✅ 6. Cab Card / IRP Registration

Part of the International Registration Plan (IRP), this allows you to travel across jurisdictions legally with proper apportioned fees.

✅ 7. Bill of Lading (BOL)

Always keep a copy of your current shipment’s paperwork in case you’re asked for it during a stop or inspection.

✅ 8. ELD Backup Instructions

FMCSA requires that drivers using an ELD (Electronic Logging Device) carry instructions in the cab in case of malfunction.

Safety & Support Documents

✅ 9. Emergency Contact Sheet

List of key numbers in case your phone dies—family, dispatcher, roadside assistance, etc.

✅ 10. Truck Maintenance Log

A record of repairs and inspections. Can help during a DOT stop or if you’re ever in an accident.

✅ 11. Permit Copies (if applicable)

Oversize/overweight permits, hazmat credentials, or special state permits depending on your route and cargo.

✅ 12. Company or Independent Lease Agreement

If you’re leased to a carrier or running independently, it’s good to have proof of your operating authority or lease terms on hand.

Don’t Just Be Compliant—Be Covered

Having these documents ready is about more than avoiding fines—it’s about running your business like a pro. And when something unexpected happens, you’ll be glad you’re not scrambling to prove you’re insured, licensed, and ready.

At Logrock, we provide custom truck insurance for owner-operators, dump truck drivers, and independent haulers. No fleet policies—just real coverage, built around how and where you work.

Keep it in the glovebox. Keep it together.
And keep moving with confidence.
